How do I select the right trade booths and shows for my company?

Your trade show displays and the shows you attend with it depend on your sales and marketing objectives, target market and budget. Review your marketing plan and see if exhibiting trade show booths fit into the mix. To come up with a list of shows, ask your customers which trade shows they attend. You can also search online for trade shows using our trade show calendar. You’ll come up with a handful of events for trade show booths that will have the potential to reach your target market.

Then, you’ll want to review the attendee profile for each show. Most shows provide detailed attendee demographics. You can examine data on the industries, titles and purchasing power of the show’s attendees. Next, estimate the costs associated with rental space for trade show booths, show services, shipping, booth installation, travel, accommodations and marketing. With this information, you can rank the shows accordingly and choose the best ones.

Do you print trade show display graphics?

Yes, we have a high-quality, large-format graphic production department in-house at E&E Exhibit Solutions to print all kinds of trade show graphics. Our production department takes great care to ensure that your tradeshow display graphics are a perfect fit for your display.

How do I make arrangements for shipping a trade show display exhibit?

We just need the details of your trade show display exhibit shipment (number of, weight of and dimensions for each case) and the shipping address. We’ll do the rest!

What makes a trade show exhibit green?

Why should I attend a trade show or convention? What are the objectives served by attending one, or exhibiting with trade show booths and displays?

According to the Center for Exhibition Industry Research, there were over 14,000 trade shows and conferences in the U.S. in 2005. Whatever industry you may specialize in, there’s a trade show, conference or expo just for you.

Exhibiting with trade show booths puts you face-to-face with hundreds and sometimes thousands of qualified attendees. Many of those attendees use their industries’ big trade shows to research products and services before a purchase. An industry study found 83% of attendees have some type of buying power.

For an exhibitor, these attendees are a good source of new leads and even show floor sales. Twenty-two percent of sales and marketing executives say trade shows are the top-producer of leads among all their marketing programs. In addition, the costs of generating and closing a qualified lead via exhibiting with trade show booths is less than that of generating and closing a field lead, according to the CEIR Study on Economics of Exhibiting.

How much do trade show exhibit rentals cost?

The costs of trade show exhibit rentals vary with the size and features. Generally, a exhibit rental  is about 25 to 30 percent the investment of purchasing the same trade show display.

Will I see a proof of my trade show display graphics before you print them?

Yes, we provide test prints of your trade show display graphics for your approval before proceeding with final production. The test prints allow you to review the design, color and resolution of your trade show graphics.

My trade show display exhibit is too big for me to store at my office. What are my options?

While our custom portable exhibits and custom modular displays are compact by industry standards, the cases and crates are may be too cumbersome for most regular business offices. At E&E, we have a climate-controlled warehouse for trade show exhibit storage. Many clients prefer to store their exhibits with us so we can more easily prepare shipments to their next trade show.

What is the difference between recycled and recyclable materials in your green exhibits?

Recycled materials are items that used to be something else, such as recycling soda bottles to create items like panel infills, tabletops and exhibit graphics. Recyclable means that the materials can be recycled and turned into other products for reuse. From aluminum to wood, virtually all exhibit materials are recyclable. How much freedom will I be given by the convention hall in choosing where my display is placed? What are the criteria for determining which ones are good and which are bad?

At the most popular trade shows, booths are usually placed according to seniority. Exhibitors that attend the show year after year will have first choice of the show floor and often book next year’s space during the current show. If this is your first time exhibiting at the show, try to book your space as early as possible. You’ll have more options from which to select.

The best spaces for trade show displays are the ones that get the most foot traffic. These are usually the ones closest to the hall entrance and corner spaces, which provide traffic from intersecting aisles. Because they are the most desirable, these spaces may come at a premium cost.

Try to avoid spaces with obstructions, such as columns or polls. It may be difficult to build your trade show display around these obstacles. Also, while they may seem like high-traffic areas, being near the food court or restrooms might not give you the exposure you expect. Those attendees have a personal agenda to eat or make a personal pit stop.

If you don’t get your preferred space, don’t worry. You can still drive traffic to your booth with effective pre-show promotions, such as email and direct mail postcards, and at-show advertising.

My company goes to only one trade show a year and we don’t want to make a big investment on a display. Do you offer trade show rental exhibit displays?

Yes, we offer a full inventory of pop-up displays and custom trade show exhibit rentals. Rentals are a great option if you attend fewer than three or four shows a year. By renting a display, you don’t have to make a large up-front investment. If you attend more than four shows a year, you are probably better off purchasing your own trade show exhibit display.

On what materials do you print trade show display graphics?

E&E Exhibit Solutions produces a variety of high-quality, large-format trade show  graphics.Your solution may include a combination of the trade show display graphics below:

What services are included in your storage fees?

Our exhibit storage services include space in our climate-controlled warehouse for your trade show display exhibit cases and/or crates. You also receive access to our web-based booth management system. We input your inventory into our online system, from which you can then schedule booth shipments from any computer with web access. There are additional fees for handling to pull and prepare your trade show display exhibit for shipping and receiving. Shipping fees are also billed separately. Handling and shipping fees vary with the size and weight of your exhibit.

What is the Reincarnation Program? How does exhibit recycling work?

The Reincarnation Exhibit Recycling Program is designed to reduce the volume of retired exhibit materials reaching landfills, decreasing the release of carcinogens and greenhouse gases. Nearly all materials used in trade show displays are included in our program, including aluminum and other metals, plastic, wood, particle board, cardboard, fabric, nylon, laminate and carpet. Exhibit recycling fees vary, but the cost is offset by the savings on traditional waste disposal fees – plus, you can rest assured that your exhibit will not be sitting in a landfill.

What can I do to stand out from the other trade show booths on the convention floor?

The best thing you can do is know your target market and show objectives. You have only about three seconds to grab attendees’ attention, so you’ll need to put together an effective and customized trade show displays and trade show graphics. Keep in mind how attendees will enter your booth. Will traffic come from one or multiple sides? Place graphics at each entrance at eye-level or above so attendees can quickly identify your company and what you do. Using bold images and simple messages will also help stop traffic and then it’s up to your booth staff to continue your show objectives.

I don’t have a graphic designer on staff. Can you help me design my trade show display graphics?

Yes, we offer graphic design services for large-format trade show graphics. Our designers will work with you to create artwork based on your trade show display, exhibiting objectives and budget. In addition, we offer integrated marketing programs to create not only trade show display graphics, but brochures, direct mail, business cards, letterhead, web sites – all with the same look and feel to promote your brand.

My trade show manual says I need to use show labor to install my trade show display exhibit. Can I set up my booth myself?

Sometimes. The generally accepted rule is if one person can set up your booth in less than 30 minutes without tools, you do not need to use show labor. This pretty much includes only table top and 10×10 displays. However, if you don’t fit within these guidelines, don’t fret. We offer professional labor services at competitive rates to install and dismantle your trade show display exhibit in major cities throughout the U.S. Our labor crews are also trained on all of our exhibit lines, so your display is set up quickly. Contact us and our tradeshow display exhibit consultants can discuss our labor services.

What are renewable resources? Which ones do you use in your exhibits?

Renewable resources are those that the earth can replenish. For example, wood is a renewable resource because as trees are grown, more wood is created. Our green trade show displays utilize a variety of rapidly renewable resources such as bamboo, sorghum and eucalyptus. Because these materials grow much more quickly than traditional wood products, they provide a more sustainable solution for trade show exhibit materials.

What should I look for in a trade show display exhibit company?

Exhibiting a booth at trade shows and events is complex. You should look for a company for trade show booths that provides not only trade show displays and trade show graphics, but offers a full range of services, including rental displays, storage, shipping and installation. It will save you stress and money in the long-run by finding a supplier of trade show booths to partner with in a long-term relationship. While online retailers might be able to sell you a cheap display, they won’t be able to provide you with custom trade show exhibit designs or assist you with emergency situations when you’re stuck on the show floor.

What are the best criteria to use when deciding whether to buy or rent a display?

Trade show rental exhibit displays are a good option if you are a first-time exhibitor, only exhibit at a few shows a year or have simultaneous shows.

First-time Exhibitor
If this is your first trade show or conference, using trade show exhibit rentals will give you an opportunity to try out a display to see what will work for you. You may find out you need a bigger booth, counter storage or a computer demo station. By renting, you can try different options until you are comfortable and ready to purchase your own trade show exhibit display.

Infrequent Exhibitor
If you attend only two or three shows a year, a trade show exhibit rentals is more cost effective than purchasing. You can space out the rental costs, rather than put a large chunk of your budget up for a trade show exhibit rental that will spend more time in storate. Plus, you can alter your display size or configuration with each show.

Double-booked Exhibitor
If you have a busy trade show schedule, using a trade show exhibit rental is a great way to supplement your own display inventory. For example, if you have two shows at the same time that need 10×10 displays, you can rent a second display at a fraction of the cost of buying more exhibit property. What is your turn around time? Can I rush an order?

Our turnaround times vary with the size of the trade show graphics order. Most orders are fulfilled within our standard turnaround of 5-7 business days from receipt of usable artwork. This includes one test print before final production.

If you need to rush an order, please contact us. We may be able to accommodate your deadline depending on our production schedule. Rush fees may apply.

How long does it take to assemble a display?

It depends on the size, style, features and complexity of your trade show display exhibit. Most table top displays and 10×10 pop-up displays can be set up in about 30 minutes. To get an estimate on our labor services, contact our display consultants.

How much does a green exhibit cost?

It used to be that green products meant you had to spend more “green.” With continuous improvements in manufacturing and more accessible environmentally-friendly and sustainable products, the prices of green trade show displays now run about the same as traditional custom portable and custom modular displays, which cost around $100 to $150 per square foot. In fact, green display 10x10s and green display 10x20s are competitively priced and may even cost less than traditional displays. The industry average to purchase individual portable trade show booths is $100-$150 per square foot for larger displays. For example, 20×20 displays would cost between $40,000 and $60,000. Exhibit Rentals are about 35% of the hardware purchase cost.

Your event budget allocation will vary, but according to EXHIBITOR Magazine, here’s how the average trade show budget breaks down:

  • Space = 33%
  • Trade Show Booths & Graphics (construction/refurbishment) = 18%*
  • Travel & Expenses = 18%
  • Show Services (electricity, cleaning, drayage, I&D) = 12%
  • Shipping = 9%
  • Promotion = 8%
  • Miscellaneous = 2%

In addition, you can estimate your total event budget by multiplying the cost of your space by three. For example, the average floor space costs $21 per square foot. So, for a 20×20 floor space rental expect to pay around $8,400. The budget for that event would be $25,200.

*This figure is the display cost per show, not the total investment to purchase trade show displays and trade show graphics. When you purchase a display, you obviously plan to use it multiple times to get the most out of your investment.To determine the display cost per show, you’ll need to estimate how many years you will use the display and how many shows you will go to each year. The average lifetime of a display is five years. For graphics, the average lifetime is one year. Your display and graphic replacement needs may vary depending on how many shows you plan to attend. The more shows you go to, the sooner you may need to purchase new trade show booths.

Help! We’ve added a show to our schedule but our booth will be at another event. What should I do?

If you are double-booked, using a trade show rental exhibit will get you out of this bind. We have a full inventory of pop up and custom trade show booth display rentals, so we can try to match the look and feel of your other display. We can also print high-quality, custom trade show graphics to dress up your trade show rental exhibit.

Can you print graphics for a display I already own?

Yes, we can print trade show graphics for most trade show display exhibit booths. Our graphic production department requires the display on-site at E&E Exhibit Solutions to make sure the new trade show display graphics fit perfectly into your display frame.

Do I need to be present for installation and dismantle (I&D) if I use a preferred E&E trained trade show labor services provider?

No, it is not required that you be on the show floor while they perform trade show labor services. However, you will save money by being there. If no representative from your company is on-site during I&D, you will be charged a supervision fee. If you have the time, there are advantages to supervising the labor crew. You can direct the installation or dismantle of your tradeshow display exhibit, ensure that everything is unpacked or packed correctly and complete any last-minute paperwork.

Why are green displays gaining attention?

According to data estimates from the Environmental Protection Agency, the event and tradeshow industry is high on the list of producers of solid waste in the United States, ranking near the amount waste produced by the construction and demolition industry. In fact, the average two-day event can produce as much waste as a family of four produces in 15 years.
